Independence Day Events: A Safety Checklist for Organisers

Independence Day brings people together, and crowds, stages, decorations and the August weather bring risks. A practical safety checklist for organisers, before, during and after the event.

Independence Day brings people together. On 15 August, offices, factories, schools, housing societies and communities across India gather to hoist the flag and celebrate the nation's freedom. When India marked its 77th Independence Day in 2023, we sent our greetings to our clients, our team and our fellow citizens, and reflected on the values of unity, progress and resilience that the day represents.

There is another side to bringing people together, though. Crowds, temporary stages, electrical decorations, food stalls and the August weather all bring their own risks. A safe celebration is one that everyone remembers for the right reasons. This checklist is for anyone organising an Independence Day event at work or in the community.

A day that means a great deal

On 15 August 1947, India became an independent nation. In the decades since, the country has come a long way, through resilience, hard work and unity. Independence Day is a time to remember the sacrifices of those who won that freedom, and to recommit to the values they stood for. For us, part of that commitment is helping to build a healthier and safer country, at work and beyond.

Before the event

  • Appoint someone in charge of safety, with the authority to make decisions on the day.
  • Visit the venue in advance. Check access routes, exits, the ground surface, shade and where people will stand.
  • Estimate numbers, and make sure the space can hold them without crushing near the flagpole or stage.
  • Plan for the weather. Mid-August can bring heavy rain or strong sun. Arrange shelter, and think about slippery surfaces.
  • Check any stage or platform for stability, guardrails and safe steps.
  • Inspect electrical equipment, including sound systems, lighting and decorations. Use proper connections and weatherproof equipment outdoors, and keep cables away from walkways and water.
  • Keep the flagpole safe. Check that the pole, rope and fittings are sound well before the event, and keep people clear while the flag is hoisted.

First aid and emergencies

  • Have trained first aiders present, clearly identified, with a stocked first aid kit.
  • Know where the nearest AED is, if there is one, and make sure first aiders do too.
  • Agree how to call 112, who will do it, and how an ambulance would reach the site.
  • Keep emergency routes clear of vehicles, stalls and chairs.
  • Have fire extinguishers nearby, especially near cooking, generators and electrical equipment.

Looking after people

  • Provide drinking water, especially for long ceremonies and outdoor events.
  • Seat older people and anyone unwell in the shade, and keep speeches and programmes to a sensible length.
  • Watch for signs of heat illness or fainting, particularly among children standing in assembly lines.
  • Keep food safe, stored and served hygienically, with clean water for washing.
  • Plan for children, with a meeting point for anyone who gets separated from their group.

On the morning itself

  • walk the site once more before people arrive, looking for trip hazards, loose cables and anything moved overnight
  • check that exits and emergency routes are open and clearly marked
  • confirm that first aiders, the first aid kit and fire extinguishers are in place
  • brief volunteers and staff on who to contact if something goes wrong
  • check the weather forecast, and be ready to move indoors or shorten the programme

After the event

  • Clear the site, including cables, temporary structures and waste.
  • Note anything that went wrong, or nearly went wrong, and use it to improve next year's plan.

Celebrating together, safely

Independence Day is about unity and looking forward. Taking care of the people who gather to celebrate is part of that spirit. When the planning is done well, nobody notices it, and everyone goes home safely.

We wish all our readers, clients and colleagues a happy Independence Day. If you would like to share your thoughts or explore working together, we would be glad to hear from you.
